Luncheon Prep

If you like helping prepare for events this is the volunteer task for you! The 2016 Better Futures Luncheon is coming right up and we could use your help!

Duties may include:
  • preparing name tags for 500 guests
  • assembling silent auction packets
  • making photocopies

Luncheon Wrap Up

Volunteers will complete pre-printed thank you notes to send to luncheon donors.  Also may help with thank you calls to donors.  Sign up and Ellen will be in contact with you to find mutually-agreeable times to volunteer during business hours on September 28 and 29th.

Post-Event Data Entry

Volunteers will assist staff with post-event data entry.  Volunteers who are comfortable with technology are preferred.  Sign up and Ellen will be in contact with you to find mutually-agreeable times to volunteer between 2 and 8 pm on September 27th.

Arts Connect Dinner Volunteer

Arts Connect is Hilltop Artists' program for court-involved girls (learn more about it here). Each week we provide a healthy family-style dinner for the group and we are looking for volunteers to help provide meals for the program. Dinner takes place on Tuesdays and Wednesdays around 6 PM. We prefer to have volunteers who are able to make a regular commitment of once a month or once every other month, if possible.

Volunteers for this must be over 21 years of age and be willing to go through an in-depth background check through Pierce County Juvenile Court. Once you sign up, Arts Connect Program Manager, Lauren Appel, will connect you with the information to get a background check and work with you to plan meals based on the participants' dietary restrictions and known food preferences, etc. Costs of ingredients can be reimbursed and volunteers may use the Arts Connect slow cooker, if needed.

Event Cashier

If you're comfortable working with money, or good with technology, this is a great opportunity for you!

Event Cashiers are responsible for processing retail glass and silent auction purchases. One cashier will be responsible for handling cash and check transactions, the remaining volunteers will process credit card payments using our online system.

Volunteers who have used our Click and Pledge system before are preferred for the credit card role.

Event Check-In

Check-in is simple!  Volunteers will check-in guests by highlighting their name on a list and helping them find their name-tag. Will also process payment for guests who didn’t purchase their ticket in advance (only a small number) and encourage guests to pre-register their credit card for expedited auction check out.

The ideal volunteer in this role is warm and welcoming!

Event Greeter

Volunteers will help Luncheon guests make their way into the Hotel Murano and guide them to the check-in station. Will also answer questions guests may have about Hilltop Artists. Students will also be serving as greeters and will partner up with a volunteer.

Silent Auction Helpers

Volunteers will open the silent auction, assist guests with bidding and understanding auction rules, and close the silent auction. At the close of the auction, volunteers will move items to the packing room and package auction items.

Silent Auction Runner/Packer

Volunteers will retrieve table centerpieces immediately following the end of the program. After retrieving their assigned centerpieces, will package up items purchased at the Silent Auction so they are ready for pick up at the end of the program and retrieve purchases from the packing room for guests who have checked out.
